Voice Claude in practice: Voice-controlled CRM and AI Brain for SMEs

TLDR
– Voice control is no longer a consumer gadget — it’s a practical tool for SMEs in situations where hands are occupied
– Voice Claude differs from Siri and Alexa: it understands context, can answer business questions and works with company data
– Use cases: dictate meeting notes directly into the CRM, ask about the sales pipeline while driving, create tasks without opening an app
– AI Brain connects voice control with CRM data: “How many open deals in northern Finland?” — answer in 3 seconds
– Privacy: all data on EU servers, Anthropic processing is GDPR-compliant

Why voice control solves a real SME problem, not just a trend

A consultant is driving between clients. He remembers a key detail from the previous negotiation. He has two options: pull over, take out his phone and type a note — or forget it.

A construction site supervisor is walking through the worksite. Hard hat on, gloves on, clipboard in hand. A client calls asking about the project timeline. The supervisor answers from memory. Pulling up the CRM right now isn’t happening.

These situations happen in dozens of Finnish SMEs every day. Voice control solves them — not because it’s new technology, but because it fits the situation better than a screen does.

Voice Claude vs. Siri and Alexa — what’s the real difference?

Siri and Alexa are consumer products. They’re designed to answer simple questions (“what’s the weather tomorrow”), play music and control home devices. They don’t understand context deeply, and they don’t work with business data.

Voice Claude is different. It’s the voice integration of Anthropic’s Claude language model, which:

Understands complex context: “Send Matti Virtanen a reminder about the housing loan thing we went through in Tuesday’s meeting” — Claude understands that “housing loan thing” refers to the project in the CRM notes from Tuesday.

Works with business data: Voice Claude is connected to Resappi’s CRM data. It doesn’t answer general questions from the Internet. It answers questions about your own business data.

Learns your organization’s language: Your company’s product names, your salespeople’s names, customers’ informal names: Claude learns these through context.

Doesn’t require precise command syntax: Siri requires a specific command structure. Claude understands natural language, including imperfectly phrased questions.

Practical examples — what Voice Claude actually does

Example 1: Dictate meeting notes directly into the CRM

You’ve just left a client meeting. In the parking lot, before getting into the car: “Log a note from the Ahokainen Oy meeting: client interested in the HR module, next meeting May 15th, their procurement decision is in Q3. Add a follow-up task for me in eight days.”

Voice Claude:
– Identifies “Ahokainen Oy” in the CRM
– Creates a meeting note on the correct contact
– Schedules the next meeting in the calendar
– Creates a task 8 days from now

Done manually: 5–8 minutes. Spoken: 30 seconds.

Example 2: Ask about the sales pipeline while driving

“How many open deals do we have right now in northern Finland and what’s their total value?”

AI Brain fetches the data from the CRM and responds: “Five open deals in the northern Finland region. Combined value €127,000. The largest deal is Ylitornion Konepaja, €45,000, currently in the proposal stage.”

Without voice: open the CRM, filter by region, calculate or view the summary. 3–5 minutes. On the phone while driving: not a safe option.

Example 3: Create a task without opening an app

“Add a task: call Kari Mäkinen next Tuesday regarding offer number two four zero eight.”

Voice Claude creates the task on the correct date and automatically links it to the correct offer based on the offer number.

Example 4: Quick customer situation briefing

Before a client call: “What does Virtanen Oy have open right now?”

“Virtanen Oy has one open proposal for a €12,000 HR package, sent three weeks ago. The most recent contact was April 10th, with salesperson Sami Leinonen. The customer has one unpaid invoice, €3,200, which became overdue five days ago.”

This information is in the CRM — but pulling it from different places used to take a minute. Now it takes three seconds.

AI Brain — how AI connects behind the voice

Voice Claude isn’t just speech recognition + search. It’s connected to Resappi’s AI Brain layer, which does two things:

Explains, not just reports: Instead of AI Brain saying “the proposal acceptance rate is 32%,” it says “the acceptance rate is 32%, which is 8 percentage points below the typical rate for your industry. Three proposals with no follow-up contact in 14 days are the main reason — do you want a list of them?”

Suggests actions: “Next week there are four deals where the decision date has passed. Do you want me to automatically create follow-up tasks for them?”

AI Brain doesn’t make decisions for you. It surfaces relevant data at the right moment and suggests the logical next step.

Privacy and GDPR — where does the data go?

This is a legitimate question. Here’s a direct answer:

Voice data: Voice Claude processes speech through Anthropic’s API. Anthropic complies with GDPR for EU customers: data is not used for model training without consent and is handled securely.

Business data: Resappi’s CRM data stays on Resappi’s servers (Hetzner, Frankfurt, EU). Voice Claude retrieves answers about business data through Resappi’s own API — data doesn’t travel into Anthropic’s environment.

In practice: Voice query goes to Anthropic → Anthropic understands the question → Resappi fetches the answer from its own database → answer is returned to the user. Customer data never leaves the EU at any point.

Implementation in an SME — what does it take?

Voice Claude is a Resappi add-on feature, not a separate product. Implementation:

  1. Resappi subscription with AI module: Voice features are part of the AI Brain package
  2. Browser-based access: Voice Claude currently works through the browser — the Resappi mobile app for iOS is coming soon
  3. Configuration: You tell the system what the language model has access to, i.e. which data is accessible
  4. Team onboarding: A short briefing (30 min) is enough for basic use. The interface is intuitive.

Typical time from first use to effective use: one week. No training projects, no consultants.

Summary: voice control doesn’t replace the CRM — it makes it usable

The biggest CRM problem is that it doesn’t get used. Salespeople log data late or incompletely because updating during the day is inconvenient. Voice control lowers the logging threshold in situations where the traditional interface doesn’t work — in the car, on a construction site, in a corridor.

Better data entry = better data = better decisions = more revenue.

Sounds simple. Rarely achieved. Voice Claude makes it realistic.
